Information we collect

Contact forms may collect your name, email address, phone number, inquiry topic and message. Artist applications may also include biography, availability, rates, production requirements, links and uploaded media. Sponsor submissions may include private representative contact details, a package or role, approved business profile content, public contact details, social links, brand guidance and an uploaded logo. Venue submissions may include private venue contacts, location and capacity details, accessibility, food and beverage service, production information, approved public contact details, photographs and logos. Organizing Team profile submissions may include a private contact, public name, role, team area, organization, location, pronouns, biography, contribution, quote, selected public contact details and links, a portrait and photo credit. Ticket and reservation systems may collect attendee names, email addresses, pass identifiers, order details, consent records, venue choices and check-in status.

How information is used

Information is used to answer inquiries, evaluate private artist and venue submissions, administer partnerships, review sponsor and Organizing Team materials, process approved ticket orders, deliver digital passes, manage capacity and reservations, support venue check-in, prevent misuse and operate the event.

Artist, sponsor, venue and Organizing Team submissions remain private until an authorized portal member approves public use. Private contacts, rates, riders, production notes, submitter notes and internal review notes are not displayed publicly. Only approved profile content, selected public contact details, links and artwork are considered for publication.

Payments and service providers

Approved online payments are processed by Square. Complete payment-card details are handled by the payment provider and are not stored by this website. Website hosting, email delivery and WordPress services may process limited information needed to provide their services.

Retention and safeguards

Records are retained only as long as reasonably needed for event operations, legal obligations, dispute handling and legitimate business records. Team Portal access is restricted to authorized WordPress accounts, approval actions are attributed to signed-in members, and public ticket links use signed identifiers. No internet system can be guaranteed completely secure.

Your choices

Optional marketing consent is separate from transactional ticket delivery. You may ask the event team to review or correct personal information, subject to records that must be retained for legal, financial, security or event-operating purposes.
